Scheduling Coordinator

About the Role

Reporting to the Scheduling Manager, the Scheduling Coordinator will play a key leadership role in guiding and supporting a team of schedulers to deliver effective and responsive rostering services. This position ensures the seamless coordination of staff schedules to support the consistent and high-quality delivery of services to the Association’s clients. The Scheduling Coordinator will collaborate closely with internal Departments to align staffing coverage with service demands and organizational guidelines, while also driving the development and implementation of best practices within the scheduling team. This is a fulltime time role, requiring availability on Monday – Friday potential to cover additional days when the Schedulers are on leave.

Key Responsibilities:

  • Lead and support the Scheduling Team to ensure effective scheduling practices and adherence to policy.
  • Manage and coordinate Support Worker and Coordinator rosters to meet service delivery needs.
  • Create and distribute accurate rosters to support staff and respond to changes in a timely manner.
  • Liaise with staff to manage shift shortfalls, including sourcing emergency replacements.
  • Oversee processing of leave requests, onboarding and induction documentation, training schedulers, and related administrative duties.
  • Maintain and update internal databases and rostering systems to ensure data accuracy.
  • Participate in the team’s rotating roster to provide ongoing scheduling coverage.
  • Act as a point of contact for internal scheduling inquiries and resolve issues with professionalism and efficiency.
  • Provide training, mentorship, and support to new and existing schedulers to foster team development
  • Contribute to ongoing improvement initiatives for scheduling workflows, and service delivery outcomes.
  • Oversee and Home and living arrangements including daily living and community supports.

About You

  • You are a motivated and detail oriented professional with excellent interpersonal and organisational skills. You thrive in dynamic environments and bring a systematic and proactive approach to challenges. You have a genuine commitment to inclusive service delivery and are passionate about building strong operational teams. In addition, you bring:
  • Demonstrated experience in scheduling or rostering, preferably within the Disability or Aged Care sector.
  • Proven ability to manage and mentor a team of schedulers, fostering a collaborative and productive work environment.
  • Advanced IT skills, including proficiency with Microsoft Office, Customer Relationship Management, scheduling software, and the ability to quickly learn new systems.
  • High-level organizational and time-management skills with the capacity to meet competing deadlines.
  • Strong verbal and written communication skills, with the ability to build rapport with staff at all levels.
  • A customer service mindset and a commitment to person-centred support for people with Autism.
  • Capacity to work independently and collaboratively, exercising sound judgment and initiative.
